Reservations guide
Choose hotel booking software around the full booking journey.
A booking begins with dates and availability. It finishes with a reservation your property can honour, a clear price and a reliable record of what happened next.
The phrase hotel booking software can mean a reception reservation tool, a booking engine on a hotel's website or a system connected to online travel agencies. First identify which job you need. Then check how it connects to the PMS that manages the stay.
Separate the PMS, booking engine and channel manager
The PMS manages reservations and day-to-day property work. A booking engine gives guests a way to search and request or complete a reservation on your website. A channel manager exchanges supported availability, rates and booking changes with connected sales channels. A supplier may combine these functions, but the boundaries still matter.
Write down where reservations may originate: reception, phone, the property website and each OTA you intend to use. Ask which system controls inventory, who publishes updates and how staff find discrepancies. Avoid assuming that a guest-facing page automatically provides channel connectivity.
Check what the availability result actually promises
Search should consider every night, the party size, the type of unit and any applicable eligibility rule. The final confirmation must recheck inventory because another guest or receptionist may have booked while the first guest was reading the page.
Use a synthetic last-unit example: two people try to confirm the final room or bed for overlapping dates. The normal result should not be two conflicting promises. For a multi-night dorm stay, also check whether the guest can keep the same bed or must explicitly accept a move.
Make the quoted price and policies understandable
Before confirmation, the guest should understand the stay dates, room or bed quantity, guest count, currency, included items, extra charges and applicable cancellation terms. If a quote expires or the price changes, the new amount should be accepted before the booking is completed.
Test an overnight date range rather than only one-night examples. A guest leaving on the departure date does not ordinarily occupy that night's inventory. Have the property confirm any different day-use, late-checkout or monthly-stay rules instead of assuming the software handles them.
Treat payment and reservation status as separate records
A reservation can be held, confirmed, cancelled or checked in while its money remains unpaid, partly paid or under review. Ask how the software represents these differences. A guest returning from a payment page is not enough evidence of a successful payment.
Walk through a payment timeout, a duplicate callback and a payment that arrives after a hold expires. The system should show an unresolved outcome clearly and let authorized staff reconcile it. Check the refund process and its evidence as well as the initial checkout screen.
Evaluate changes and failures before going live
Ask to amend dates, shorten a stay, cancel a booking and process a repeated request. Check which prices and policy snapshots are retained, what inventory is released and which messages are sent. Repeated clicks or deliveries should not create an extra reservation or an extra payment.
For OTA bookings, confirm actual provider access and supported modification rules. If a genuine external reservation arrives during an inventory shortage, staff need the booking evidence and an exception workflow. Simply hiding or discarding the obligation does not solve the guest's problem.
- Test reception and website bookings against the same inventory.
- Review the result of an interrupted request before retrying it.
- Reconcile future bookings, balances and channel ownership at cutover.
AU-PMS availability and next steps
AU-PMS includes reservation and guest-booking workflows in its local implementation, using synthetic property data for demonstrations. This does not mean public hotel reservations or live payments are enabled on aunexus.in. First-client onboarding and live operating acceptance are still ahead.
Start with the AU-PMS product scope and the evaluation checklist. Confirm the specific property website, external services, approved policies and acceptance evidence before offering a live booking journey to guests.
Questions to work through.
Is a booking engine the same as a hotel PMS?
No. A booking engine is the guest-facing reservation journey, while a PMS manages the reservation and the stay within property operations. They may be supplied together, but confirm how availability, prices, payments and changes move between them.
Does AU Nexus currently take hotel bookings?
No. aunexus.in introduces AU Nexus software products. It does not reserve accommodation or collect guest payments. AU-PMS booking workflows are demonstrated locally; live property onboarding and acceptance remain pending.
